20 Party Planning Mistakes to Avoid, From a DJ of 50 Years

Knowing the party planning mistakes to avoid matters just as much as choosing your venue. I’m Tim Daymond, known on stage as Tinsel Tim. I’ve been a DJ since 1976, so I’ve seen almost every party scenario imaginable.
The good news? Most problems have simple solutions. So here are twenty common pitfalls, grouped into four areas, with my practical advice for each.
Timing Mistakes to Avoid When Party Planning
Your schedule shapes the whole evening. In fact, the wrong timing can drain the energy from even the liveliest room.
- Starting the dance music too early. Loud dance tracks during the meal make conversation difficult. Instead, begin with relaxed background music.
- Leaving long gaps. Then momentum disappears between the meal and the dance floor. So plan a smooth handover from one stage to the next.
- Ignoring the buffet lull. Guests drift away while they eat. Therefore, ask your DJ for familiar, lower-energy hits during the buffet lull.
- Poor speaker placement. Speakers should cover the dance floor, not blast guests at the bar. Also, quieter corners let people chat comfortably.
- An overly rigid schedule. Leave some breathing space, because the best moments often happen naturally.

Booking Mistakes to Avoid in Party Planning
Your choice of suppliers makes an enormous difference. So take a little extra time over these five.
- Booking on price alone. The cheapest quote may leave out insurance or spare equipment. So compare exactly what each price includes.
- Not checking insurance. Ask for public liability insurance and PAT-tested kit. I carry £10 million cover as standard.
- Skipping the written contract. Never book any entertainment without a written contract that sets out times, costs and terms.
- Choosing the wrong style of DJ. A mixed-age party needs variety rather than a single genre. Therefore, ask how the DJ plans music for every generation.
- Ignoring reviews. Read genuine, recent reviews before you pay a deposit. Also, check for independent approval schemes.
I’m Trading Standards Approved under the Norfolk County Council scheme. For a side-by-side comparison, use my DJ comparison checklist. My safe DJ booking checklist also covers the paperwork.
Guest Experience: Party Planning Mistakes to Avoid
Happy guests make a packed dance floor. However, these five mistakes can quietly spoil their evening.
- Not taking requests. Guests love hearing their favourite song. With me, they simply scan a QR code and send requests from their phones.
- Excessive volume. People still need to talk away from the dance floor. So keep the volume comfortable, especially near the tables.
- Poor lighting. A brightly lit room makes people feel self-conscious about dancing. Instead, dim the main lights once the disco starts.
- Forgetting the children. Younger guests need something to do as well. A good children’s party DJ keeps them busy with games and dances.
- Too many slow songs. A couple of slow songs work beautifully. However, too many can empty the floor once the party is in full swing.
Technical Problems and Venue Issues
Finally, these technical problems are completely avoidable with professional preparation.
- Relying on a phone playlist. A phone playlist can stall, skip or leave awkward silences. My guide on a DJ versus a Spotify playlist explains the difference.
- Having no plan B. Equipment occasionally fails. That’s why I always carry spare equipment to every booking.
- Not checking the power supply. Make sure the venue has enough sockets for sound and lighting. Also, ask about any shared circuits.
- Forgetting your must-plays. Tell your DJ your favourite songs in advance. Then nothing important gets missed.
- Microphone feedback during speeches. Squealing feedback ruins a toast. So insist on quality wireless microphones, positioned correctly. I bring wireless microphones to every party as standard.
Tim’s tip: Ask your venue about the power supply and any sound limiter at the same time. One phone call then answers both questions.

Party Planning Mistakes to Avoid: Your Questions
How can a DJ help me avoid party mistakes?
I act as your adviser. We discuss your timeline and venue layout early, so I handle the technical side for you.
Can lighting fix a dull room?
Yes. Good disco lighting creates a party atmosphere in almost any room. Discounted extras, such as uplighters, also appear in your client portal after booking.
How loud should party music be?
Loud enough to dance to, yet quiet enough to chat at the tables. Therefore, I adjust the volume as the evening develops.
Will you be the DJ on the night?
Yes. I play every booking personally, and I’ve never missed one.
