A safe DJ booking checklist protects your celebration long before the first song plays. After all, most venues now ask for paperwork before any entertainer can carry equipment inside.

I’m Tim Daymond, and I’ve been a DJ since 1976. So below, I’ve listed exactly what to check, why each item matters, and how I handle it myself. As a result, you can book any entertainer with complete confidence.

Your Safe DJ Booking Checklist

  1. Public liability insurance. Venues usually require it before setup begins. I hold £10 million cover as standard.
  2. PAT-tested equipment. Every cable, speaker and light should pass an annual electrical safety test. Mine are tested every year, and I keep the PAT certificates up to date.
  3. An Enhanced DBS check. This matters whenever children or vulnerable guests attend. I hold an Enhanced DBS check, so families can relax.
  4. A written contract. It should list your date, times, venue and price. Every booking with me includes one automatically.
  5. Independent vetting. Reviews certainly help, but an official scheme goes further. I’m Trading Standards Approved under the Norfolk County Council scheme (ID 0000457).

Importantly, you can download my insurance and PAT certificates from your client portal. So you simply forward them to your venue coordinator without any chasing.

Why a Safe DJ Booking Checklist Matters

Venues carry responsibility for everyone inside their building. Therefore, they need confidence that your entertainer’s equipment and insurance meet their standards.

Without the correct documents, a venue can refuse setup entirely. In that case, you could face a silent room on the night itself, whatever you’ve already paid.

Meanwhile, a signed agreement protects your deposit and sets clear expectations on both sides. Above all, it confirms exactly who will perform at your celebration.

Finally, independent vetting matters because anybody can write a confident website. However, a Trading Standards scheme checks references, paperwork and trading history for you. You can read more in my guide to the Norfolk Trusted Trader scheme.

Children, Proms and Vulnerable Guests

However, children’s parties and school proms need particular care. So always ask for proof of a DBS check before booking any entertainer for young people.

Similarly, some guests find flashing lights or loud music difficult. That’s why I offer an optional Sensory-Friendly Disco Mode at no extra cost. It reduces strobe effects, gives warnings before effects and creates quieter volume zones.

For family parties, my software also removes swearing from songs during playback. You can find out more on my children’s parties and inclusive disco pages.

Knowing Exactly Who Will Perform

Always ask which DJ will actually play at your celebration, and get that name in writing. In my case, the answer never changes, because I perform at every booking personally. In fact, I’ve never missed a booking.

Also, I recommend meeting your entertainer before booking. For example, we can chat by telephone, over coffee or on Zoom, whichever suits you.

Tim’s tip: Keep every agreement in writing, including any later changes. That way, everybody remembers the same plan on the day.

Free Tools for Planning Safely

Careful planning keeps your celebration safe and organised. That’s why I built these free tools, and they all work on your phone.

  2. Receive your proposal. I usually reply within two to three hours during business hours.
  3. Secure your date. A 45% deposit by card or bank transfer confirms your booking.
  4. Sign your contract. Your written contract and certificates then appear in your client portal.
  5. Pay the balance. It’s due four weeks before your event, and monthly payment plans are available.

Safe DJ Booking Checklist: Your Questions

Which documents should my DJ provide?

Ask for public liability insurance and current electrical test certificates. Most venues require both, so I send them to your venue coordinator on request.

Do adult parties need a DBS-checked DJ?

It isn’t always required, of course. However, I hold one for every booking, so you never need to ask.

Do you charge for travel?

No, travel within Norfolk, Suffolk, Cambridgeshire and Lincolnshire costs nothing extra.

Can we meet before booking?

Of course. A telephone call, a coffee or a Zoom meeting all work perfectly.

How do I pay safely?

You pay by card through Stripe or by bank transfer. Then every payment appears on your invoice straight away.
